Documented collection from every modern data environment: Microsoft 365, Exchange, Gmail, OneDrive, SharePoint, Google Drive, Dropbox, Windows and macOS systems, Teams, Slack, WhatsApp, iMessage (where authorized), and CRM, ERP, and database systems. Every collection includes SHA-256 hashing, chain of custody, tool logging, and a collection report.
Raw collections are processed to extract content, apply OCR, deduplicate, thread email, and reduce volume. Data reduction criteria — keywords, date ranges, custodian domains, file types — are proposed by Venteck and approved by counsel before application. Exception reports document items that could not be processed. Legal judgments remain with counsel.
Physical records converted to litigation-ready ESI. We manage evidence intake with chain of custody, document preparation, B&W/grayscale/color scanning, image QC, OCR to searchable PDF, and litigation coding. Output is delivered as Bates-numbered images with load files ready for your review platform. This is paper-to-ESI conversion under litigation-support procedures — not commodity scanning.
We create and configure review environments on leading platforms: workspace setup, user provisioning, document ingestion, metadata mapping, tagging and issue-coding layouts, privilege designation frameworks, and search term implementation. Venteck administers the technology. Your attorneys perform all substantive review, relevance determinations, and privilege calls.
Counsel-approved production sets prepared per negotiated discovery protocols. Services include Bates numbering, confidentiality designations, redaction processing, TIFF/PDF/native-file output, and load file generation. Every production undergoes preparer QC, independent QC, and counsel authorization. Each delivery is accompanied by a Production Manifest with Bates range, document/page/native counts, and SHA-256 hash.
For matters involving departing employees, potential spoliation, internal investigations, or forensic-grade acquisition requirements, Venteck provides forensic-level collection using documented forensic tools and procedures. Bit-for-bit images of storage media, mobile device extractions, and volatile data capture are performed with chain-of-custody documentation and hash verification.
When circumstances don't allow a standard planning timeline — a same-day subpoena, a preservation letter requiring immediate action, a TRO, a departing employee, or a government inquiry — we respond. Same-day triage is available. Collection response within 24 to 48 hours. The same documented procedures and chain-of-custody controls apply regardless of the compressed timeline.

We review the matter details, identify custodians, map data sources, assess preservation risks, and develop a collection plan and cost estimate. You receive an ESI Matter Record, Custodian Matrix, and Data Source Inventory before any collection begins.
We coordinate preservation steps to reduce spoliation risk — including litigation hold guidance and notifications coordinated with counsel — and document all preservation measures taken.
ESI is collected from identified sources using documented procedures, SHA-256 hashing, and chain-of-custody controls. Physical records are collected under evidence intake procedures. Collection reports are provided to counsel.
Collected data is processed to extract content, apply OCR, deduplicate, thread email, and apply counsel-approved filtering criteria. Exceptions are reported. Processed data is staged for review environment loading.

Production packages are delivered in the required format and medium with confirmation of delivery and hash verification of the production package.
Matter data is retained in accordance with counsel's instructions and applicable rules. At matter close, data is disposed of per documented procedures or retained per counsel direction.

Every matter has a Matter ID, a dedicated project manager, and a complete audit trail. One person owns your matter and is accountable to you. You can ask for status at any point and receive a specific answer — custodians collected, GB processed, exceptions pending, next deadline — not a general update.
Client data is handled under access controls with MFA requirements, encrypted file transfers for all data movement, and matter-level segregation ensuring no client's information is commingled with another's. Our security posture is appropriate for the sensitive nature of litigation data.
We provide regular status reports covering custodian status, collection volumes, processing metrics, exceptions, productions, deadlines, and costs. Because we handle both paper and ESI under the same workflow — one PM, one audit trail, one point of contact — you do not need to coordinate between separate vendors for physical records and electronic data.
